JOB TITLE:            Administrative Assistant

LOCATION:         Washington, DC

REPORTS TO:      Program Manager

 

POSITION SUMMARY:

Brief Description of Duties:   Front Office Support Team.  Provides direct support to Program Manager and senior government executives.  Provides complete and total administrative support for Coast Guard Flag Officers and Coast Guard (SES) Executives.  Directorate Chief, Deputy and Special Assistant (GS-15s).  Provides comprehensive support for calendar, scheduling, travel, transportation arrangements, schedule de-confliction, access control, document control, and liaison/outreach support.  Integrates efforts into Front Office Support Team processes and vice versa.  This position requires a candidate who is experienced and comfortable working with a diverse range of professionals from Senior government/military leadership to junior support contractors in a high-paced, demanding, dynamic Executive Office environment.  Comfortable working in an integrated and structured team environment that supports two Coast Guard Admirals, two SES members, and several high-ranking government support staffers.

 

Provides Daily and Project Management Support in conducting acquisition project management responsibilities and supporting major acquisition programs to include:

 

  • Assist in preparation of draft documents, including reports, memos, letters, meeting minutes, position papers, white papers, briefs, talking points, standard operating procedures, program documentation and presentations
  • Review of acquisition management documents for accuracy, consistency, and completeness
  • Review and comment on process and management documents to ensure grammatical correctness, organization, accuracy, consistency, and completeness
  • Assist by participating in project and acquisition management related meetings, recording meeting notes for the record as well as tracking assigned follow-on actions
  • Assist with facilitating and coordinating responses to data calls from internal/external organizations
  • Assist with maintaining accurate and complete documentation regarding project management related decisions utilizing SharePoint within Document Control and Management process guidelines
  • Support team coordination including logistics and arrangementsDescribe number of years and type of experience required to perform the job; essential knowledge/skills/abilities:
  • Minimum 3-5 years experience supporting govt/military/public sector executive leadership.
  • Support the coordination of the event calendars, weekly, bi-weekly, and monthly reports, and provide review and assessment of message boards
  • Prior military experience – strongly preferred.
  • Required:       Prior Government security clearance or other experience that required a government background check.
  • College degree (BS/BA) and/or 5+ year’s equivalent related experience in corporate or military analytical support field.
  • Coast Guard military affiliation or equivalent preferred.
  • Ability to work with all levels of staff including Senior Military Officers and Executive Leadership.
  • Self-starter with high energy, can do positive attitude with ability to multi-task, adapt to change, prioritize, and possesses skillful organizational capacity.
  • High level of proficiency with Microsoft Office Word/Excel/Outlook/PowerPoint and SharePoint.
  • Excellent computer skills
  • Writiing skill at informal to finished document level

 

 

 

Education Requirement:

BS/BA degree preferred, but not required

 

Describe any special hours, overtime, physical activities, etc.:

  • MUST have completed prior background investigation/screening in order to quickly qualify for a Common Access Card.

 

  • Preference will be given to current/former holders of government security clearance (because they would have had a background check).
